Job Description

TITLE:                                     Director of Membership

RESPONSIBLE TO:    Executive Director

Other USA Fencing departments as well as the Board of Directors and Committee Members

Responsible for the daily activities of the membership department. The ideal candidate will have the knowledge and creativity to create new member programs and benefits to grow USA Fencing’s membership.  


  • Responsible for daily membership functions.
  • Produces monthly & quarterly membership reports for dues rebates and Finance.
  • Produces annual voting list for distribution to Divisions and Sections.
  • Produces and sends Division/Section Officer’s reports.
  • Revises and produces annual membership applications for distribution and the website.
  • Responsible for the distribution and printing of membership cards and obtaining quotes for these services.
  • Email blasts to clubs, subscribers, vendors and members for renewals.
  • Provides assistance to Divisions/Sections regarding issues and refers more complex issues to members of the Board or the Executive Director.
  • Organizes and distributes club membership materials and the printing of these materials.
  • Manages the Board list for distribution of email messages and printed information.
  • Updates and maintains all Membership related website pages.
  • Manages Sport Accident and Commercial Liability insurance policies
  • Assists with USA Fencing Club, Division/Section, Professional and Athlete insurance.
  • Maintains and updates information on background checks for Professional Members.
  • Responsible for maintaining annual membership demographics & archives.
  • Serves as the primary contact for the USA Fencing credit card company.
  • Maintains the Board Minutes archives in the National Office.
  • Provides daily communication with members via phone, email, website and fax.
  • National Office liaison to various committees and Task Force groups.
  • Manages annual All-Academic Team program maintenance and selections.
  • Manages annual Fundraising campaign mailings, website updates and gift processing.
  • Maintains planned giving information on the website and respond to questions.
  • Youth Development Committee liaison and bid packet updates.
  • Other duties as assigned by the Executive Director
  • Bachelors degree in business or sports management or relevant experience required
  • Membership experience required
  • Project management experience preferred
  • Planned giving or annual campaign experience preferred
  • Supervisory experience required
  • Ability to organize, prioritize tasks, and multi-task 
  • Excellent customer services skills.  Candidate must be able to provide superior customer service in potentially high stress situations.
  • Proficiency in Microsoft Office, Word, Excel, and Microsoft Outlook
  • Proficiency in Microsoft Access, IBM AS/400 or other enterprise level database, a plus
 SALARY:        Commensurate with experience
