Welcome to the Tournament Organizer Hub! This section is intended for USA Fencing’s regional tournament organizers and includes guidance on event sanctioning, bid submissions, compliance requirements, event standards, reporting procedures, and other operational resources. It serves to support organizers in delivering consistent, high-quality regional competitions aligned with national policies.
Regional and National Tournaments
The following membership types are valid for regional and national competitions. Fencers will need one of the following membership types in order to register for any regional or national tournament.
- Competitive
- International Competitive
- Collegiate
- Life
- Life Installment
- Coach
Local Tournaments
Only an Access membership is required to register and compete at local tournaments and Divisional Qualifiers. All other memberships listed above are also valid for local tournaments and Divisional Qualifiers.
Athletes will need to be age-verified prior to registering for a regional or national competition.
Age verification can be completed through the membership account. A birth certificate, passport, green card or drivers license is acceptable as proof of date of birth.
Fencers only need to complete the age verification process one time.
Age verification documents will be approved/denied within two business days.
Per the Athlete Handbook, Junior, Cadet, Y14, Y12, and Y10 events will be seeded by their national rank in their respective national points and then by weapon rating.
Please pull the seeding file from your Organizer Dashboard for your event. If you are having trouble downloading the file from your dashboard or need instructions on how to do so, please email regionalevents@usafencing.org.
If fencers are having a hard time registering for a tournament, organizers should double check to make sure the fencer is age and rating eligible.
All regional tournament organizers will report their results through their tournament's finalization page in the tournament's dashboard. All regional tournaments will need to be run using Fencing Time.
At the conclusion of a regional tournament, organizers must generate the .results file from Fencing Time. To generate the results file, use the option "Export Results to USA Fencing" on the "File" menu within Fencing Time.
The resulting file will be uploaded during the finalization process in the system.

Result Reporting with Fencing Time

Reporting Results Using Fencing Time
At the conclusion of your tournament, you must generate a .results file from Fencing Time which will be sent to USA Fencing. To generate the results file, use the option "Export Results to USA Fencing" on the "File" menu within Fencing Time. The generated ".results" file should be emailed to USA Fencing at the following email address: t.gonzales@usafencing.org.
Manual Reporting of Results - If Not Using Fencing Time
Division qualifiers that are not run using Fencing Time must provide their results to USA Fencing using both of the following forms - must be an excel spreadsheet:Please note results will not be accepted without the Referee and Officials Form. All participants, athletes and referees/officials, need a current USA Fencing membership. All referees/officials also need a current background check and SafeSport training. Results will not be confirmed until all requirements for participants are met.
Both forms should be emailed to: t.gonzales@usafencing.org.
Weapon Rating Reports
Once a report is submitted to the National Office, and any associated fees have been collected, the weapon rating changes will be updated within five business days, except in the following situations:
- Weapon ratings will not be awarded to fencers who compete in competitions in which they are considered age and/or rating ineligible. In addition, such ineligible fencers may not be used to calculate the new ratings earned by others in those events.
- For events in which any fencers are not current USA Fencing competitive members, the award of any new ratings, points or qualification for that competition maybe delayed or withheld until such memberships are properly paid and processed.
