Download a Detailed Transaction Report
Click here!, opens in a new tabThe detailed transaction report is a record for every registration and purchased and refunded for a regional tournament. It also break out what was disbursed immediately to the organizer and what was collected into the escrow account for the event. Organizers should review this report before submitting for finalization. To see how, click the button below!
Send Messages to Participants
Click here!, opens in a new tabOrganizers can send messages to participants through the tournament platform. Messages can be sent to all or certain fencers. Once a message has been submitted, the Regional Events manager will be notified and either approve or deny the message. If denied, the Regional Events Manager will follow up with the organizer. The tournament messaging tool is only available until the tournament is finalized. After the event is submitted for finalization, this tool is disabled. To see how, click the button below!
Add Additional Waivers
Click here!, opens in a new tabThe standard Regional Events Waiver, created by the National Office, is set to be acknowledge by default in all Regional Tournaments during the check out process. Organizers can add additional waivers for participants to sign before completing the registration process. To see how, click the button below!
Change a Fencer's Registration Status
click here!, opens in a new tabOrganizers can change an athlete's status to:
- Not Defined - fencer has added registration to their shopping cart but has not paid
- Denied - used for athletes who are not qualified for an event
- Pending - fencer has paid for the event, but they are not "qualified" for the event. Regionally, it is likely, if given this status, that the fencer falls outside of the age bracket for that event. They could be qualified if they are listed on the National Point Standings for the age category directly below their registration.
- Approved - fencer has paid and is in the event
- Withdrawn - fencer is no longer in the event
- Waitlisted - fencer is on the waitlist
- In Lottery - a national event function, regional organizer will not need to use this

Graduate a Fencer off the Waitlist
Click here!, opens in a new tabIf events are capped, organizers can manually graduate the next athlete in line off the waitlist if space becomes available in the event. If there's a problem with the card on file, fencers are given 48 hours to update their payment method. To see how, click the button below!
Manually Register a Fencer
Click here!, opens in a new tabOrganizers can manually register athletes for events. This can be use to help fencers who are having difficulty registering on their own OR in cases where the individual is eligible for an event category by being on the National Points Standings for the age category below (i.e., a fencer who is too young to compete in Junior events, but is on the Cadet National Point Standings so is eligible to compete in Junior events). Add Staff and Officials to a Tournament
Click here!, opens in a new tabAll referees, bout committee officials, medical and other staff need to be added to the tournament to be compliant with SafeSport policies and procedures. Referees also need to sign their referee contract before being marked "good to go."
Adding staff to the "Staff" tab under "Tournament Staff" in the event organizer view will give them Admin permissions so they can help manage the tournament.
- If organizers have staff that they do not want granted admin privileges, they can be added to the "Officials List."
For the tournament results to be approved by USA Fencing, all officials and staff (age 18 and over) need to have a current USA Fencing membership, background check and SafeSport training.
- The status of these requirements can be viewed once they are added to the tournament.

Issue a Refund
Click here!, opens in a new tabOrganizers are able to issue event fee refunds through the tournament organizer dashboard. If you issue an event fee refund, it will automatically withdraw the fencer. If you do not wish to withdraw the fencer, you can simply switch their registration back to "approved." To see how, click the button below!
If a fencer needs a full refund, organizers can reach out to the Regional Events Manager and request it. Please include the fencer's name and order number. Transaction fees are non-refundable, since those are directly disbursed to Stripe upon purchase.
